Conduct pre-move and post move inspections to identify, track and resolve any outstanding items.

Project Planning


  • Review the client’s program requirements, existing plans, preliminary concept plans, schedule and budget to define the project parameters.
  • Prepare an overall project schedule from the initial design phases through construction and occupancy.
  • Develop a comprehensive project budget to track all costs and ensure that the approved budget is maintained.

Team Assembly


  • Prepare and submit Requests for Proposals (RFP) to prequalified contractors and consultants, if not already pre-selected by the client.
  • Evaluate all proposals for scope, experience and price. Participate in the interview process.
  • Assist in the award and preparation of contracts documents.

Design and Documentation


  • Establish procedures between client, architect, engineer and other consultants to facilitate the design development and construction documents.
  • Attend regular progress meetings with the architect and consultants to review the design package and ensure the client’s needs are addressed, coordinated and documented in the plans.
  • Coordinate the design work of the specialty consultants not under the direction of the architect. This may include telecommunications, laboratory equipment, security and furniture.
  • Conduct periodic design review meetings. Monitor and ensure timely progress and design submissions.
  • Coordinate communications between the specialty consultants, architects and engineer to ensure that the special requirements are incorporated in the design and construction documents.
  • Facilitate and monitor ongoing coordination and quality control of all work produced by the project team.
  • Communicate and assist the client in making important design decisions in a timely manner in accordance with the schedule.
  • Work with the project team to identify and evaluate potential costs savings and incorporate add/deduct alternatives in the bid documents to provide flexible value engineering data within the contractor’s bid, as applicable.

Construction


  • Review the proposed General Contractor’s list of subcontractors to bid the work.
  • Participate in the pre-bid conference with general contractor and their proposed subcontractors.
  • Review general contractors bid packages, including scope, cost and schedule.
  • Analyze subcontractor bids in concert with the general contractor to verify scope.
  • Evaluate value engineering recommendations from the general contractor and subcontractors.
  • Require that the architect, engineer and other project consultants inspect the work to verify it is accordance with the construction documents and specifications.
  • Monitor contractor, subcontractor and suppliers to ensure that the established critical path scheduled is maintained.
  • Attend regular meetings with the general contractor, design professionals and subcontractors to review progress, schedule, cost and quality issues.
  • Monitor the process and coordination for shop drawing, RFI and change order submittals for review and approval.
  • Review and recommend approval of contractor’s monthly application for payments with appropriate supporting documentation.
  • Work with the project team and the client to coordinate installations by the client contractors that are not under the direction of the general contractor. They may include cabling, telephone, security, and furniture and specialty equipment.
  • Work in conjunction with the general contractor, architect, engineer and other consultants in the preparation of an official punch list to ensure all work is completed as specified.
  • Coordinate with the general contractor and specialty contractors that all keys, manuals, project specifications, warranties, record drawings, replacement materials are submitted to the client as it relates to the construction and installation.
  • Coordinate the completion of the punch list with general contractor to ensure an expedited final close out of the project and minimal disruption after occupancy.

Relocation Planning


  • Develop a relocation plan for specific moves related activities based on the overall project schedule and the client’s functional and operation needs.
  • Work with department representatives and the move vendor to prepare for move activities.
  • Develop a move package that includes schedules, floor plans, guidelines and contact information.
  • Conduct a walk through with the move vendor to familiarize them with building, equipment and contents of the move to ensure an efficient and effective work plan is developed for the relocation.
  • Manage and coordinate other vendors/ consultants involved in the relocation such as telephone, local networks, computers, and security.
  • Develop and maintain an Employee Move database to track each employee, location and specific work requirements.
  • Conduct pre-move meetings with the department representatives to ensure they are informed and prepared for the move followed by a post-move meeting to verify completed activities and identify issues, if any, to be addressed.

Furniture Plan


  • Coordinate with the architect to develop an inventory list, furniture reuse plans and layout.
  • Work with architect to determine which items should be relocated, which items should be purchased and how to best purchase those items.
  • Present the furniture plan for review and approval.

Vendor Management


  • Request, review and evaluate proposals from qualified vendors and provide recommendations.
  • Conduct final negotiations and assist in the preparation of contract documents.
  • Manage the vendor activities for contract adherence as well as installation and testing of products.
  • Conduct site inspections and provide progress updates.
  • Coordinate product training, as required, with the client and vendor representatives.
  • Review vendor invoices and provide recommendation for payment.

Occupancy


  • Conduct a pre-move inspection to confirm the space is ready for occupancy and note any damage prior to the move.
  • Prepare a post move punch list and track status/completion of items.
  • Process damage or lost claims, if any, with the move vendor within the designated timeframe stated in the contract.
